A fantastic opportunity has arisen for an experienced administrator join our professional Sales and Marketing team in Caterham. Reporting to the Sales and Marketing Director your primary responsibility will be to coordinate management company activity across the South Thames region to provide an effective communication link between the organisation, managing agents, residents and contractors.


You will also monitor compliance of the Memorandum of Association and Articles of Association, providing information to the managing agents for purposes of preparing service charge estimates and budgets, ensuring budgets are issued promptly and attend meetings with the managing agents to review performance and progress.


The role is based at our South Thames office in Caterham, Surrey, with occasional travel to our sites as required.


Some of your key responsibilities:


  • Collating information from internal teams to prepare service charge estimates.
  • Manage the tender process for the appointment of Managing Agents from instigation to review of tender applications.
  • Budget management, ensuring approvals are in place.
  • Attending monthly meetings with Managing Agents and monthly progress review meetings.
  • Attending site visits with the Managing Agent to review and discuss site maintenance.
  • Providing monthly management company reports to the Sales and Marketing Director.
  • Facilitating Managing Agents handover of site maintenance, attending handover meetings and agreeing remedial work as required.
  • Coordination of resident meetings and AGMs with the Managing Agent.
  • ·Other administrative duties and support within the team including management of Subject Access Requests.

  • Educated to A-level standard or equivalent.
  • Previous administration experience, with management company experience desirable.
  • An understanding of the Memorandum of Association and Articles of Association is desirable.
  • Excellent verbal and written communication skills and confidence when liaising with internal and external stakeholders
  • Excellent IT skills using relevant software packages.
